HOA Meeting 02/05/2020
- Meeting called to order at 7:05pm
- Updates on current projects:
. Clubhouse tile roof and wood repair completed. New wood painted.
. Fixing roofs on an as need basis first – Addressing leaks, etc.
. Guard shack interior painted. - Elevator project:
. Board members met with new potential Elevator company: Liftech
. Quote was received from Liftech for restoration/repair of elevator. It was also indicated by Liftech that work on elevator would take a month. Residents are to be notified with ample time in advance once project is scheduled. Nothing scheduled at this time.
. Current maintenance discussed with Liftech and it was indicated that current vendor has not been doing monthly maintenance while still charging HOA for service. It has been requested that current Vendor provide HOA with recap and supporting paperwork for maintenance for the last 5 years as well as copy of current contract. Once paperwork is received Board will determine if any action against Vendor is required.
. Board has decided to replace current Vendor with Liftech for monthly maintenance. - Sauna:
. Currently unable to find a Vendor to service Sauna. Board and Brockman Properties will continue to look for vendor.
. Resident suggested local company. To be followed up on. - Roof update:
. Continuing current project of fixing tile roofs on Townhomes. Units being chosen on a first need basis (ie: leaking, damaged tiles, etc.). Units completed so far: 5427, 5467-69.
. Units currently being worked on: 5477
. Upcoming units that are in need of repair: 5433 and 5441 - Stream/ Ponds:
. Continuing to have overflow problems with West Side stream/ waterfall.
. Quotes received for Pond repair and conversion to Eco Pond.
. Residents like the look of Eco Ponds and was agreed that repair and conversion will happen once reserves are built back up and timing is correct for change over as per Vendors recommendation.
. Further investigation is needed to determine if bridge over West Side pond/stream needs to be replaced. Metal at base of bridge will need to be removed once Eco Pond change over is started so as to not contaminate pond.
. West Side pond/stream to be the next to be converted.
. Clean out of Eco Pond to take place in spring. - Handyman:
. Onsite part-time Handyman continuing to work on repair/replacement of lighting. Parts on order.
. Fence paint maintenance a top priority.
. Decking on main floor of Condo building continuing. - Gardeners/Landscape:
. Walk thru with Green Touch was completed to indicate areas of concern and focus.
. Landscape Committee will submit suggestions for Springtime planting, focusing on main entry and Centralia.
. Noted about ground erosion at bases of patio wall supports along Centralia. To be addressed in the Spring.
. Noted some browning under hedges and bushes. Gardeners to investigate and clean out as needed. - Speed Bump:
. West Side driveway replacement vendor to repair speed bump and correct the color at Vendors cost. - General Discussion:
. Noted about previous break-ins in Condo garage and was reiterated to not keep valuables in cars when parking.
. Someone has been parking in space 25 without the Homeowners permission. Board will keep an eye on this and notify person if it happens again. Car will be towed if it persists.
. Porters: It was requested that the Porters pay attention to trash areas to be certain they are cleaning around them as it appears that it has been missed on a continuous basis. Also to squeegee or sweep standing water in front of Unit 6 after rain or after power washing as puddles
linger at that spot.
. Middle ‘No Parking’ sign in motor court is down and needs to be either replaced or removed.
