Minutes from Village Grove HOA Board Meeting
Thursday, February 25, 2021
- Meeting started 6:00 PM
- In (virtual) attendance: Tammy, Dorian, Stephanie, Sid and Bill
- New locks for the entry gates (front, back, pool) were discussed. Quotes reviewed and company that charges $20 single lock/$40 double lock and $3 per key was chosen. Keys will be exchanged first week of May. HOA board members will take turns manning the “key exchange table”. Notices will go out in April giving residents the heads up. Brockman Prop. Will have a master key.
- Phone index by the front gate needs to be reprogrammed. Sid will create a sign to post by the mailboxes directing residents to contact Alyceanne with the correct (562) phone number. The plan is to have this done the first week of April.
- Rick’s list-Stephanie will have list for Rick.
- Ponds discussed (the dead plants, the dwindling # of fish, missing spotlight by waterfall, etc.) Pond Doctors-we will have a walkthrough with them (all board members are welcome, but don’t all need to be there). Clean out scheduled for March 15. (CLEANOUT PUSHED BACK 1 WEEK/ BOARD MET WITH POND DOCTORS 3/5)
- Gardeners-need a gentle reminder to not allow the plant “droppings” into the pool. Possibly see if days can change. We will have a walkthrough with them (all board members are welcome, but don’t all need to be there). Dorian will set this up. We will need to orchestrate the foundation project around all vendors.
- Check to see if the two patios have been cleaned up.
- Light fixtures (clubhouse, hallways, stairwells)-Dorian will look for appropriate fixtures to replace the broken/damaged fixtures and email the board a few options.
- Foundation project- Quotes are in, but we need updated price quote from Crown which includes all areas of need. Dorian will meet with Crown (it’s still between Crown and Kindle). Hope to break ground in April.
- Condo Unit- door color approved, discussed him using ivy on his patio for privacy. Ivy approved within guidelines (inside of patio railing and below wood railing, similar to #32).
- Paint color and stain colors for all doors need to be posted correctly. We need to add the stain color for the condo doors. (Townhome back doors- dark brown to match trim) (Townhome front doors- cinnamon or dark brown to match trim)
- Termite damage along condo walkways and by back gate. Needs to be addressed. (MEETING WITH VENDOR 3/9)
- Windows have been broken- letters will be sent to homeowners. (3)
- BBQs are not allowed in condo’s per insurance regulation. Any condo will need to remove one if have it (if it is just a propane tank, this is permitted). Condo Unit XX needed to clean up his balcony (done), but still needs to paint the wood railing.
- Andrea’s (Townhome) rocks in front of her townhome were complimented and it was suggested that all townhomes along Centralia get these rocks. HOA bd members will look and will research the cost.(others without rocks look nice as well, will leave for now as funds are low)
- Gutter (spill out down pipe spout) shifted by the 2nd townhome by the garage (#5457). (Rick to do)
