Minutes from Village Grove HOA Homeowner Meeting

Monday, December 12, 2022

  • Meeting started 7:00 PM
  • In attendance:  Village Grove Board Members:  Tammy Roether (unit #20), Dorian Bolick (#5477), Bill Torres (unit #32), and Sid Shapiro (unit #33) and residents from units:  #11, #15, 5477, 5425, 5431, 5471, 5477, 5429, 5453, 5437, and 5453
  • Welcome, snacks and drinks
  • No HOA board election votes were brought to meeting.  Results from election will be emailed and posted on Facebook
  • Financials were reviewed.
  • HOA board reviewed some items that have been repaired and/or upgraded (lighting and landscaping along Centralia, elevator, wood repair in the townhomes, updated the lighting throughout the complex including the garage, boiler replacement, pillar repair, fence repair, trash chute brought up to fire code, fire alarm, added a shopping cart rail and repaired the drywall in the garage, and the board members donated the clubhouse furniture and bought new dining room chairs for the clubhouse).
  • Carpets in the condo area need to be replaced in the near future, as they will soon be a safety issue. The new board members will discuss this at length and begin looking for carpet vender (again).
  • “Slow down” signs have arrived and will be posted by Rick ASAP. Thank you to Iris for the suggestion
  • Homeowner shared that the mailman needs to park outside and can no longer get in the gate. We will ask Brockman Properties to look into this.
  • It is best to check the guard shack for packages; the delivery people are leaving them outside the gated area and they are getting stolen
  • Homeowners noticed that there is a TH garage door light and door mechanism not working. The owner and Brockman Properties are aware of this and are working on it.
  • Homeowner shared that the back entrance garage door doesn’t close in a hard rain.   We will ask Brockman Properties to look into this.
  • Homeowner shared her concern about another homeowner‘s behavior being odd or possibly dangerous. If any homeowner is worried about another homeowner and they do not have their personal information, please reach out to Brockman Properties for them to reach out to the homeowner’s family. If a homeowner is behaving in a dangerous or aggressive manner where you fear for your safety, please call the police.
  • Homeowner shared that she would like VG to have a game night in the clubhouse with games/cocktails/snacks. Numerous homeowners voiced their interest. Kathryn volunteered to take the lead on this. Everyone was in agreement that if it is a VG game night, no individual is responsible for the clubhouse and it would be a group effort to keep it clean and returned to its prior condition after the event.
  • Homeowner asked if sauna is working and/or if we found anyone to service it. One homeowner knows how to make it work, but the board has been unable to find anyone to service it.  If a homeowner knows anyone who services saunas, please let Brockman Properties know.
  • Christmas decorations look beautiful, thank you Dorian!  Homeowners would like Christmas lights as well. A few people said they were interested in helping to hang lights, Dea volunteered to head this committee. Saturday, December 20 at 12 PM is the tentative meeting time to hang holiday lights.
  • Homeowner was asking about codes for the roof ladders. This code is giving out to vendors as needed since there has been vandalism in the past.
  • If you are making repairs or upgrades on your home (i.e., buying new windows, getting a new AC unit, etc.) feel free to post a sign by the mailboxes. Homeowners have done this in the past and saved money (i.e., split the cost to rent the forklift to put the AC units on the roof).  If someone is interested you can ask the vender for a break for multiple units being serviced.
  • Number 5431 shared that she now has a leak in the gutters (probably happened when they were cleaned??). She was asked to reach out to Brockman Properties so it can be addressed.
  • Homeowner shared that part of the VG water bill has been being paid by the previous homeowner of her home and that Brockman Properties should be prepared for large reimbursement request.
  • When reserving the clubhouse, only the clubhouse and dining area immediately outside of the clubhouse are exclusive to the resident reserving the clubhouse. The pool, pool area, spa and spa area are open to all residents.
  • HOA info will be posted to Village Grove Facebook page.
