Minutes from Village Grove HOA Board Meeting

Monday, June 13, 2022

  • Meeting started 6:15 PM
  • In attendance:  Tammy, Dorian, Bill, and Sid
  • Dorian updated the board on the wood and painting progress.  If anyone notices something that was missed, please let Alyceanne know so she can have Rick check that it is on the list.  What is being replaced and repaired as deemed by the wood professionals.
  • The next intercom update will be mid-July.
  • Centralia Street update (New plants and new lights)
  • Elevator project postponed until November due to the unexpected boiler expense.
  • Dorian gave an update on the pillar.
  • We will be having a July 4 pancake breakfast. Sid will make signs for the event and for sign-ups.
  • Suggested that all residents get rules and regulations mailed to them or on doors.
  • Dogs are allowed in community areas, but need to be on a leash.
  • Discussed adding an additional water hose by the townhomes.
  • Brown spots need to be pointed out to Gardner.
  • Minutes will be posted on the website.
  • Meeting adjourned at 7:50 PM, when residents began arriving for homeowner meeting.

Minutes from Village Grove HOA Homeowner Meeting

Monday, June 13, 2022

  • Meeting started 7:00 PM
  • In attendance:  Village Grove Board Members:  Tammy Roether (unit #20), Dorian Bolick (#5477), Bill Torres (unit #32), and Sid Shapiro (unit #33) and residents from units:  #11, #22, #29, 5443, 5453, 5471, 5455, and 5437
  • Financials were reviewed.
  • Question regarding HOA dues increase. Board members explained how all of the major expenses lately have been things that are long-term fixes and we are hopeful we can now begin building our reserves.
  • The front driveway has been widened. Alyceanne at Brockman Properties fought the city on our behalf to get reimbursed for the money VG spent to repair the damage caused by the city.
  • Thank you to Dorian for donating the beautiful furniture in the clubhouse.
  • Two of our vendors have passed away. One was our attorney. Since the CCNR’s are so vague, we often need to contact the attorney for clarification. We now have unlimited six-minute emails. We will use this service as needed.
  • Wood project update – townhomes are the first to be done. If you see damage, please say something. Termite damage has been noticed. Please report if you have any. The painting is approximately 50% complete.  Our painter passed away, so Rick (Village Grove Handyman) is now doing the painting.
  • Centralia Street beautification project is done. New lighting, new plants and lava rock have been added. In the future, the landscape committee members will make sure that all members are present when decisions are being made. No one person should be making decisions.
  • The boiler in the condos needed to be changed. It should last for 10 years. The boiler that was replaced was 11 years old. That boiler still had a good motor, so the motor was kept as a backup motor.
  • Elevator project has been postponed to November due to expense from the boiler project. The new maintenance contract should be 50% of the past cost.
  • Any mail that is received that has the wrong address, please write down “wrong address” on the envelope and put it into outgoing mail. Do not clip to the bulletin board.
  • The new intercom system will have its next update mid-July. Please reach out to Alyceanne at Brockman Properties with the phone number you would like (long-distance numbers work).
  • Dogs are allowed in all community areas, but must be on a leash and must be picked up after.
  • Update on pillar project. Village Grove is waiting on a final bid.
  • The Village Grove Annual 4th of July Pancake breakfast will be from 8 to 10 AM. This will be of no expense to the residents. The board members are treating for pancakes and coffee, but residents are welcome to bring something to eat or drink (think potluck). This is an opportunity for residents to socialize.
  • Resident requested having more opportunities to socialize as a community. Tentative plans were made for a get together in August.
  • Please do not leave packages at the mailboxes. Packages are being stolen from the mailbox areas.  If something is ordered and it is delivered, please remove ASAP to deter thieves.
  • Resident shared that the gardener needs to remove an extra tree and that there is mulch missing from an area outside his residence. This will be discussed with the gardeners when there is a walk-through.
  • Resident shared how the wood project on his unit has been done poorly in the past and he is already noticing problems with how the new work is being done. The board requested that he provide a vendor’s name and contact information and we would be happy to request a bid from them in the future.
