Minutes from Village Grove HOA Board Meeting

Monday, March 15, 2023

IRIS – Trash company issues/updates:

-Reviewed report submitted March 14, 2023 by Dorian/Iris regarding our Meeting with EDCO/Jorge aka George

-Texting Jorge’s cell number to all Board Members and Brockman.  Prefers to be contacted by phone or text for faster results.

-Iris to follow up with Jorge regarding Green Organic Trash Bin regarding delivery date, what days will they empty Bin, etc.

-Once Green Organic Trash Bin arrives we will decide on final location.  Discussed locating it by the end of townhomes on westside walkway.

-Iris to follow up with Jorge regarding putting a new “lock” on Condo Trash Bin gate.  Also, to retrieve lock currently on gate and give to Tammy.

-Reviewed 2nd bid from Republic.  Price is very enticing.  Will wait to make final decision after we get last bid.

-Dorian/Brockman to get 3rd bid from Waste Management.  Board will then compare all 3 companies.

-Dorian to send email blast to all homeowners reminding them to use trash bags when dumping their garbage.

IRIS – Breezeway Bench?  Seating area?  Plants? (Tammy can provide plants)

-Board discussed putting (2) benches in the Breezeway along with some Plants.

-Dorian to look into his collection of furniture inventory to see if he has anything that would work.

-Discussed notifying Dee if we move forward with benches to let her know for safety reasons.

-Putting “No Smoking” signs on benches.

TAMMY – Condo Carpet Project – Bill/Sid want to assist/run project?

-Bill will be the lead on this project along with assistance from Syd.  Tammy will be a back up to project.

-Dorian suggested getting quotes from: (1) Ames Carpeting (Ames is contact) at (562) 900-2587 and (2) Bixby Carpets (James Jung is contact) at (714) 356-5445.  Tell him you were referred by Red Door Living (Dorian).

TAMMY – Condo Concrete walkway issues/updates (Tammy)

-S/W Charlie (Crown) – not many options

-Run down is 1) water draining from different areas of deck (most make sense-slope, etc.)

-Planter wall had to have drain (17 drainage holes).  Some are blocked, some go through, some have channels.  No idea what correct answer is.

-Walkway is most likely pretty THICK cement with rebarb running all throughout (so drain sliced not best option, could compromise structure).

-ADA mat is cutting the concrete (on top way is ‘cheap’ way and can slip).  If we go the ADA mat poured into concrete, night need city permit and can open can of worms.

-Put in without permit?  Charlie will get us a quote.

-Tammy to follow up with quotes.

DORIAN – Foundation Project Revisit/New Issues update (DORIAN)

-Dorian met with Vendor and Jessica (Unit ?) about removing area with plants against wall due to ongoing drainage issue.  

-Jessica was happy to have plant area removed because she would prefer to put her own plant containers, etc.

-Dorian agreed to pay 1/2 of Jessica’s cost towards replacing plant containers.

-Dorian to get quote for concrete.

SID – I think we should bring up asking homeowners to give a spare key to someone they trust who lives nearby and give contact information to someone in case someone gets locked out.

-Dorian to send email blast to all homeowners.

SID – Elevator Sign

-Sid to look into cost of putting sign holder inside elevator.  

SID – Back gate (Tammy reported to Rick on Monday)

-Dorian to send email blast to all homeowners to make sure that gate is closed when they enter/exit Village Grove.

ALL – Schedule HOA/Owners Meeting (ALL)

– Meeting scheduled for Wednesday, April 19th.  Board meets at 6:30pm and Owners at 7:00pm.

COMPLAINTS/ADDITIONAL ITEMS DISCUSSED

-Dorian to send email blast to all homeowners to contact Brockman if there are any roofing issues.

-Iris to follow up on overnight parking by owner of Red Toyota Truck.

-Spring walk through will be sometime in May.  Date to be determined at next Board/HOA Meeting.

-Gutters:  Board voted to have gutters cleaned in the Spring for Townhomes/Condos. Tammy to contact company.  Reminder:  make sure gutters are cleaned in the Condo’s!
