Introductions and Board Member Elections
All attendees introduced themselves and the unit that they represent. All HOA members are urged to complete and send their ballots to Brockman Properties as soon as possible. Tammy also reviewed the consequences if there are no board members and encouraged all eligible home owners to run for the board in the future.
Discussion Topics
2023 Projects and Accomplishments
· Wood Repairs – repairs and finishing of wood trim and other items
· Roof Repairs – Due to the heavy rains, several units experienced leaks and damage
· Trash/Disposal vendor – we changed vendors, which resulted in substantial savings. Also, pick-up days are now Monday, Wednesday and Friday each week.
· Elevator service and vendor change – Condo elevator received a service/maintenance by the new vendor.
· Pool and Jacuzzi repair – Due to substantial leaking, there was significant concrete work around the pool and Jacuzzi. This also prevented any potential damage to the filters and pumps from low water levels.
· Concrete Repairs – There were several areas of concrete within the complex that required repairs, including the retaining wall between the townhouses and driveway area. Also, the yellow skid proofing was added to the rear entry area to prevent injuries by people slipping and falling on the wet sidewalk.
· Maximum Tree Trimming – The annual tree trimming included the pine trees within the complex this year. This was done to prevent damage to the pond beds. Also, one of the pine trees showed signs of possible disease, so it was trimmed back so that it can regrow healthier.
Ongoing and 2024 Projects
· Plumbing Repairs – These are ongoing and being addressed as they are reported. Some require light reconstruction and finishing to access the repair area(s).
· Balcony Project – A vendor has been selected from the bids that were submitted. Projected total cost is approximately $25,000.00. The vendor has agreed to break the total amount into payments.
· Gutter Repairs – The board is currently obtaining bids for the work that needs to be done to repair the gutters. The majority of work will be on the townhomes, since they retain more damage and wear and tear. Proximity to the ground also exposes townhome gutters to vendor/driver damage.
Finance and Accounting
· Actuary Findings – The findings and present funding levels that the actuary gave were discussed as well as current funding levels. Currently, the reserves are at approximately 1/3 of the recommended levels and funding into the reserves is extremely low.
· Funding Levels and Reserves – The current reserve balance deficiencies and risks associated with it were reviewed. At current levels, there is a significant risk to the community and individual homeowners including possible difficulties in listing/selling units, taking out loans for needed repairs and emergencies.
· HOA Dues – The board is currently reviewing the financial situation and the recommendations by the actuary to determine the appropriate HOA Due amount for the 2024 year. Once the amount has been determined, all homeowners will be notified by Brockman Properties.
Additional Topic
· HOA Member Participation – One of the homeowners stressed the need for all owners to be more interactive regarding the issues and activities within the complex. Several suggestions on how to accomplish this were stated, but actions and follow-up are to be determined.
